Capsule + Transpond Review: The Easy All-in-One System to Manage Clients and Email Marketing

You’re following up enquiries, sending quotes, remembering who you spoke to last week, trying to stay in touch with past clients and somehow squeezing marketing into the mix.

If your current customer management system involves your inbox, a spreadsheet and a few notes you swear you’ll remember later… you’re definitely not alone. 😅

That’s why I’m always interested in software that makes life easier without giving small business owners another complicated system to learn.

One combination worth looking at is Capsule CRM and Transpond.

Capsule helps you manage contacts, leads and sales opportunities, while Transpond handles email marketing and automation. Better still, the two platforms are designed to work together.

What is Capsule CRM?

Capsule is a cloud-based Customer Relationship Management system — or CRM.

Don't let the acronym put you off.

A CRM is a central place to track your customers, potential customers, and conversations.

Instead of scattering information across emails, spreadsheets, notebooks, and your memory, Capsule gives you one place to manage it.

You can use Capsule to:

  • Store customer and business contact details

  • Keep notes and communication history

  • Track leads and sales opportunities

  • Create a visual sales pipeline

  • Create tasks and reminders

  • Organise contacts with tags and custom fields

  • Manage projects after a sale

  • Connect with other business software

For a small business, one of the biggest benefits is simply being able to see where every potential customer is up to.

Someone makes an enquiry.

You add them to Capsule.

They move from enquiry to quote sent, follow-up, and hopefully won.

No more finding an email three weeks later and thinking, “Oh no…I forgot to follow them up.”

We've all been there. 😉

Is Capsule suitable for small businesses?

Yes — and this is probably what interests me most about Capsule.

Some CRM platforms have grown into enormous systems with hundreds of features most small businesses will never use.

Capsule has been designed with small and medium businesses in mind.

Capsule currently offers a free plan for up to two users and 250 contacts, including basic contact management and a sales pipeline.

If your business grows, paid plans provide higher contact limits and additional features such as email templates, reporting, automations, multiple pipelines and more advanced AI features.

Pricing and inclusions can change, so always check the current plans before choosing one.

What is Transpond?

This is where things get more interesting.

Transpond is Capsule's marketing platform, giving small businesses email marketing, automation and other marketing tools that connect directly with Capsule.

Instead of keeping your customer database in one system and your email marketing database somewhere completely separate, the two can work together.

With Transpond, you can create:

  • Email newsletters

  • Marketing campaigns

  • Automated email sequences

  • Landing pages

  • Website forms

  • Audience segments

  • Follow-up campaigns

  • Customer communications

It also includes campaign reporting so you can see how people interact with your emails.

For example, you can see whether people open emails, click links, or unsubscribe.

Capsule + Transpond is where the real value is

This is the part I really like.

Capsule and Transpond are built to integrate.

Contacts, tags, custom fields and saved lists can sync between the two systems. Marketing activity can then feed back into Capsule, giving you a clearer picture of how individual contacts engage with your business.

That means your CRM isn't simply a digital address book.

It becomes part of your marketing.

Imagine you're a local service business.

Someone fills out an enquiry form on your website.

You enter them into your system as a new lead.

They receive an automated acknowledgement or welcome email.

You can then track their enquiry through your sales pipeline.

If they become a customer, you can move them into a different customer group and send relevant follow-up communication later.

That's a much better system than manually copying email addresses between platforms and trying to remember who should receive what.

A practical example

Let's say you run a plumbing business.

A homeowner requests a quote through your website.

Their details are added to your database, and they receive an automatic email confirming that you've received their enquiry.

You create an opportunity in Capsule and move it through stages such as:

New enquiry → Quote required → Quote sent → Follow-up → Won

If they accept the quote, their customer record remains in Capsule.

Later, Transpond could send past customers helpful reminders, seasonal information, or relevant offers.

The same idea could work for a:

  • Salon

  • Consultant

  • Marketing agency

  • Accountant

  • Trades business

  • Real estate professional

  • Cleaning business

  • Photographer

  • Allied health provider

  • Business coach

The software isn't building relationships for you.

It simply helps make sure opportunities don't disappear because you're busy running the business.

What I like about Capsule CRM

What attracts me most is its simplicity.

Small businesses generally don't need an enterprise CRM with a six-week implementation process.

They need to know:

Who is this person?

What do they need?

When did we last speak to them?

What happens next?

Capsule handles those fundamentals while still giving you room to build more sophisticated processes as your business grows.

I also like that you can start small rather than immediately committing to an expensive system.

What I like about Transpond

Email marketing becomes significantly more useful when it's connected to actual customer information.

Instead of sending the same email to everybody, you can organise and segment contacts so your communication is more relevant.

You might have:

New leads

Current customers

Past customers

VIP customers

Newsletter subscribers

People interested in a particular service

That gives you far more options for useful marketing than blasting the same promotional email to an entire database.

And frankly, nobody needs more irrelevant email. 😂

Is Capsule + Transpond right for everyone?

No software is.

If you're a large organisation with complex enterprise sales processes, more sophisticated CRM systems may be available.

Likewise, if you have only ten customers and communicate with each one personally, you may not need a CRM yet.

But if you're reaching the point where enquiries are getting harder to track, follow-ups are being missed, or your customer information is scattered everywhere, it may be time to introduce a proper system.

Capsule, combined with Transpond, gives small businesses a relatively straightforward way to bring customer management, sales follow-up, and marketing closer together.

My verdict

For small businesses, I'm a big believer in choosing software you will actually use.

The most powerful CRM in the world isn't particularly useful if everyone avoids opening it because it's too complicated.

That's why Capsule caught my attention.

It's approachable enough for smaller businesses, offers room to grow, and integrates directly with Transpond when you're ready to do more with email marketing and automation.

If you're still managing leads through spreadsheets, your inbox or bits of paper on your desk, Capsule is certainly worth exploring.

And because you can start with a free option, you can test whether it suits the way you work before committing to a paid plan.
